Privacy Policy

Your information is yours. We treat it that way.

Last updated June 21, 2026. This policy explains what we collect, why we collect it, and the choices you have.

Who we are

HW & Associates CPA, PLLC (“HW & Associates,” “we,” “our,” or “us”) is a public accounting firm headquartered at 7362 Futures Dr, Suite 16, Orlando, FL 32819. This policy applies to information we collect through our website, intake forms, client portal, email, and during the course of providing professional services.

Information we collect

  • Information you provide. Name, email, phone, company, and the details of any message or document you send through our forms, email, or client portal.
  • Engagement information. Financial records, tax documents, identification, and similar information required to deliver tax, accounting, payroll, audit, or advisory services.
  • Automatically collected. Standard log data such as IP address, browser type, referring pages, and pages visited, used to operate and secure the site.
  • Cookies. Essential cookies for site functionality. We do not sell your personal information.

How we use information

  • To respond to inquiries and schedule consultations.
  • To deliver, manage, and improve the services you engage us for.
  • To meet legal, regulatory, and professional obligations, including those of the AICPA and applicable state boards of accountancy.
  • To prevent fraud, secure our systems, and enforce our terms.

How we share information

We do not sell client information. We share it only when required to deliver our services or comply with the law, including:

  • With tax authorities and regulators when required.
  • With service providers that help us run our practice (e.g., secure document storage, e-file providers, the client portal), under written confidentiality obligations.
  • With your written consent, for example when you ask us to share documents with your attorney, lender, or other advisor.

Confidentiality and security

CPA-client communications are protected under federal and state confidentiality rules. We use access controls, encrypted transmission for document uploads through the client portal, and reasonable administrative, technical, and physical safeguards. No system is 100% secure; please send sensitive documents through the client portal rather than ordinary email.

Data retention

We retain client records for as long as is needed to provide services and to meet our professional, tax, and legal retention obligations, typically a minimum of seven years for tax engagement files.

Your choices

  • You can ask to access, correct, or delete personal information we hold about you, subject to professional and legal retention requirements.
  • You can opt out of marketing emails at any time using the unsubscribe link in any email we send.
  • Residents of states with applicable privacy laws may have additional rights; contact us to exercise them.
